How AI note taking works
AI note-taking helps you spend less time on documentation and more time focused on your clients. This article explains how the feature works, how client privacy is protected, and how to manage it during sessions.
Client Consent
Before AI note-taking is ever used in a session, your client must provide explicit consent through the Talked consent form. As part of the onboarding process, clients are informed that sessions may be transcribed using AI to assist their therapist with clinical documentation. Clients must agree to this before their first session can proceed.
If a client does not provide consent, AI note-taking will not be available for their sessions.
Client Notification at the Start of Each Session
Even after consent has been given, clients are made aware at the beginning of each session that AI note-taking is active. Clients are instructed to speak directly with you, their therapist, if they have any questions or concerns about this at any point.
This ensures clients have an ongoing opportunity to raise concerns, not just at the time of initial consent.
How to Turn Off AI Note-Taking for a Session
You have full control over AI note-taking. If a client requests it be turned off, or if you feel it is more appropriate for a particular session, you can disable AI note-taking before or during the session.
To turn it off:
- Open the control panel on the right hand side of your screen during the call
- Toggle the AI Note-Taking option to off.

The session will continue as normal without any transcription or AI-generated notes. You can re-enable it at any time for future sessions.
How Your Notes Are Generated
When AI note-taking is active, the session audio is transcribed in real time. Once the session ends, the AI uses the transcription to generate structured clinical notes for your review.
To provide more relevant and accurate documentation, the AI also draws on:
- Previous session notes for the client, to maintain continuity of care and track progress over time.
- Assessments and intake information, to ensure notes reflect the broader clinical picture.
This contextual awareness helps produce notes that are consistent with your ongoing treatment approach, rather than treating each session in isolation.
You always have the opportunity to review, edit, and delete notes before they are finalised.
Transcription Data Handling
Your clients' privacy is a top priority. Session transcriptions are used solely for the purpose of generating your clinical notes. Once the note has been generated:
- The transcription is permanently deleted. It is not stored, retained, or accessible after the note is produced.
- Only the final clinical note (as reviewed and approved by you) is saved to the client's record.
No AI Training on Your Data
Talked does not use any session transcriptions, clinical notes, client data, or any other information from your sessions to train AI models. Your data is used exclusively to provide the note-taking service to you and is never shared with third parties for AI training or any other purpose.
Session Insights for Clients
Clients can not view your notes or the AI generated notes. Your notes are secure and private to you.
Instead we provide clients, who have enabled the feature, a personalised summary of key takeaways, reflections, and any action items discussed during the session.
These insights are designed to help clients stay engaged with their therapeutic journey between sessions, reinforcing important themes and encouraging follow-through on agreed goals.
